Ignite Fit Life is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights.

1. What We Collect

• Name and email address
• Performance and Capacity Check responses
• Capacity Score and operating state data
• Weekly check-in data
• Usage data and session information
• Your conversations with the AI Performance Advisor — both your messages and the Advisor’s replies. These are stored only if you have given data-use consent on your profile page. If you have not, your conversations work exactly the same way and are not kept.
• Coach Intelligence briefs — short summaries of your recent data, prepared for your coach so they arrive at a conversation already knowing where you are

2. How We Use Your Data

• To generate your Capacity Score and performance insights
• To provide coaching recommendations through the platform
• To give the AI Performance Advisor memory of your previous conversations, so its coaching builds on what you have already discussed
• To prepare Coach Intelligence briefs, so your coach can spend your time together coaching rather than catching up
• To send relevant communications and program updates
• To improve the platform and user experience

3. How We Store Your Data

• All data is stored securely on encrypted servers
• We use Supabase for database storage with row-level security
• We never sell your personal data to third parties
• Retention: a stored Advisor conversation is kept for 24 months after its most recent message, then the whole conversation — every message in it — is permanently deleted together. We delete conversations whole rather than ageing out individual messages, because half a conversation is not a shorter record of what was said, it is a misleading one. Twenty-four months covers two full annual cycles, which is what the Advisor needs to recognise a pattern rather than a one-off; past that, a conversation is history rather than useful coaching context.
• Your other data is kept for as long as your account is open. Deleting your account removes all of it immediately, including every stored Advisor conversation and Coach Intelligence brief — you do not wait for any retention period to expire.

4. AI Features and Your Data

We use AI in three distinct ways, and they treat your data differently. The differences matter, so we have set them out separately rather than describing them as one thing.

• AI Performance Advisor conversations. Your messages and the Advisor’s replies are processed by Anthropic to generate each reply. Anthropic does not use them to train its models. They are stored only if you have given data-use consent on your profile page. Without that consent the Advisor behaves identically in every respect — same replies, nothing withheld — and simply keeps no record afterwards.
• Crisis messages are never stored. If you send the Advisor something indicating you may be in crisis, it responds immediately with support resources, and that exchange is never kept — regardless of your consent setting. We record only that a safety response was triggered, never what you wrote. We are not willing to turn your worst moment into data.
• Coach Intelligence briefs. Your coach can generate a brief summarising your recent data. The data permitted for this is sent to Anthropic to write it, and the resulting brief is stored as part of your coaching record. A brief is written for your coach to read; it is not part of your Advisor conversations and is not covered by the 24-month conversation retention period above.

5. Your Rights

• You can request access to your data at any time
• You can request deletion of your data at any time
• You can withdraw data-use consent at any time on your profile page. New Advisor conversations then stop being stored.
